  • Training Record Form: use anytime training occurs to document who was trained, when, and what was covered — a must-have during inspections.
  • Plan Review Report: use every 5 years or after site changes to officially review and update your plan. Required to keep it valid.
  • Discharge Notification Form: use after any spill to record all the info needed for state and federal reporting — even if it’s a near miss.
  • Diked Drainage Log: use whenever you drain containment areas. Proves it was done safely and supervised, as required by law.

    This tab includes:

    • Spill response procedures

    • Emergency contact numbers

    • The Discharge Notification Form

  3. 📝 Fill Out the Discharge Notification Form
    Found in Tab 8. Complete this for any spill (even minor ones) to document what happened and how it was handled.

  4. 📞 Report If Required
    If oil reached water (or could reach a storm drain), call:

What records do I need to keep?

You should keep:

  • Monthly inspection reports

  • Annual training records

  • Annual review logs

  • Diked drainage logs (if applicable)

  • Any documented spills or releases

All of these should be kept with the plan itself in case of an inspection.


Does my staff really need SPCC training every year?

Yes. Annual training is an EPA requirement. Anyone who works near or around oil, even if they don’t directly handle it, should be trained on the spill prevention and response measures outlined in your plan.


Where should I keep my SPCC Plan?

The plan needs to be physically available on-site, stored in a known, accessible location. If regulators show up, you should be able to hand it to them immediately.


Who enforces SPCC Plans?

SPCC rules are enforced by the EPA, not your state agency, but your state or local regulators might also be concerned with your SPCC plan. That means federal, state, and local inspectors can show up (often unannounced) and ask to review your plan, training records, and inspection logs.


What happens if I don’t follow my plan?

Non-compliance can lead to steep fines, not to mention serious liability if a spill occurs. But more than that, it puts your team and environment at risk. The good news? You already have the plan. We’ll help you keep it active and effective.
